Imagine having a personal AI assistant readily available within your Google Workspace. Gemini for Google Workspace helps people and businesses get more out of their Google apps — from drafting emails in Gmail to organizing project plans in Sheets. Gemini in the workspace side panel now uses Gemini 1.5 Pro and is coming to more people. We’re also adding new features to Gemini in Gmail on mobile and expanding language support for Help Me Write in Docs and Gmail.

How to use Gemini AI in Google Docs, Sheets, Slides, Gmail, and Drive?

Gemini in Gmail, Docs, Slides, Sheets, and Meet is available for Google One AI Premium Plan members in more than 150 countries in English. All AI Premium members can access Gemini Advanced, 2TB of storage, and other Google One benefits for $19.99/month.

Gmail

Struggling to articulate the perfect message? Gemini offers a “Refine” menu, allowing you to adjust the generated text for clarity, conciseness, or formality. You can ask Gemini to summarize an email thread. Suggest responses to an email thread. Find information from previous emails and Google Drive files. This feature is currently available on the desktop.

Step 1: On your computer, open Gmail.

Step 2: At the top right, click Ask Gemini.

Step 3: At the bottom of the panel, you can:

  • Select a suggested prompt when an email thread is open.
  • Write your prompt.

Step 4: From the generated text, you can:

  • Show more of the response: Click View more.
  • Show less of the response: Click View less.
  • Check sources for responses: If available, click Sources.
  • Refine the generated text: Write a new prompt.

Step 5: To close the panel, click Close.

The new Gemini for Workspace features in the Gmail mobile app can also help you to summarize emails, compose smart contextual replies, and take advantage of the questions and answers features available with Gemini in Gmail.

Google Docs

Overcome writer’s block by prompting Gemini AI. You can ask Gemini to write and refine content in context. Summarize your files from Drive and emails from Gmail. Create images and brainstorm creative ideas. This feature is currently available on the desktop.

Step 1: On your computer, open a document from Google Docs.

Step 2: At the top right, click Ask Gemini.

Step 3: To make the side panel bigger, click Expand.

  • To go back to its original size, click Collapse.

Step 4: At the bottom of the panel, you can select from suggested prompts or write your own.

Step 5: Press Enter.

Step 6: After Gemini generates content, on the side panel, you can:

  • Generate new text or image: Click Retry.
  • Add the suggested content to the document: Click Insert.
    • Before you click Insert, place your cursor where you want the content to be inserted in your document.
  • Refine the generated text or image: Write a new prompt.
  • For long answers, you can:
    • Show all of the suggested content: Click View More.
    • Show less: Click View Less.

Step 7: To close the panel, click Close.

Google Sheets

Stuck on a complex formula? Save time and effort by using Gemini to automate repetitive tasks like data entry and table creation In Google Sheets, you can ask Gemini to help you create tables and formulas or summarize your files from Drive and emails from Gmail.

Step 1: On your computer, open a spreadsheet from Google Sheets.

Step 2: At the top right, click Ask Gemini.

Step 3: To make the side panel bigger, click Expand.

  • To go back to its original size, click Collapse.

Step 4: At the bottom of the panel, you can select from suggested prompts or write your own.

Step 5: From the generated content, you can:

  • To show all of the suggested content, click View More.
  • To show less, click View less.
  • To generate new content, click Retry.
  • To add the suggested content to the spreadsheet, click Insert.
  • Before clicking Insert, place your cursor where you want the content to be inserted in your spreadsheet.
  • To refine the generated content, write a new prompt

Step 6: To close the panel, click Close.

Google Slides

Need visuals to enhance your slides? In Google Slides, you can ask Gemini to create images, generate new slides, summarize a presentation, and write or rewrite content. This feature is currently available on the desktop.

Step 1: On your computer, open a presentation in Google Slides.

Step 2: At the top right, click Ask Gemini.

Step 3: To make the side panel bigger, click Expand.

  • To go back to its original size, click Collapse.

Step 4: At the bottom of the panel, you can select from suggested prompts or write your own.

Step 5: From the generated text or image, you can:

  • Generate new text or image: Click Retry.
  • Add the suggested content to your presentation: Click Insert.
    • Before you click Insert, place the cursor where you want the content to be inserted in your document.
  • Refine the generated text or image. Write a new prompt.

Step 6: To close the panel, click Close.

Google rebrands its Duet AI model into Gemini for workspace

Google Drive

Can’t remember the specific document title? In Google Drive, you can ask Gemini to help you summarize a long document so you can quickly get the main points. Discuss a topic that requires synthesizing information from one or more files on your drive. Also, it retrieves quick facts and suggests relevant topics. This feature is currently available on the desktop.

Step 1: On your computer, go to drive.google.com

Step 2: At the top right, click Ask Gemini. 

Step 3: To make the side panel bigger, click Expand.

  • To go back to its original size, click Collapse.

Step 4: At the bottom of the panel, you can select from suggested prompts or write your own.

Step 5: After receiving a response:

  • To show all of the suggested content, click View More.
  • To show less, click View less.
  • To generate a new summary about the file, click Retry.
  • To refine the generated text, write a new prompt.
  • To view which files and documents were used to generate the response, click Sources.

Step 6: To close the panel, click Close.

Gemini in the Workspace side panel is now available for Workspace Labs and Gemini for Workspace Alpha users. It will be available next month on desktop for businesses and consumers through Gemini for Workspace add-ons and the Google One AI Premium plan.

Google recently added language support for more Gemini for Workspace features. In the coming weeks, Help me write in Gmail and Docs will support Spanish and Portuguese on the desktop. We’ll continue to add more languages over time.
